Name the building, the Hoe, or a second county
No ceremony fee is set out for a signing in the city, so send the building and the length of the slot you have been given. A short register-office signing is often covered in one or two hours, ceremony plus a few pictures outside. Say whether you want time on the Hoe or the Barbican afterwards, and name which. A suburb is a different brief from the waterfront. If you only want that short stretch, say so, and leave the evening off the enquiry.
Plymouth is a long way from Exeter, and further still from Bristol. Ask where the photographer is starting from, and ask for that travel to be written in the quote. Someone already in the city is a different journey from someone coming down the peninsula. The reply should state the miles either way.
Dartmoor, the Tamar, and the crossings
A ceremony in town and a meal on Dartmoor is two stops. The drive depends on the season and the light. Winter afternoons on the moor finish early, so put the month in the enquiry if the portraits are outdoors, and say when coverage should end. A venue over the Tamar into Cornwall is another county. Name the place. Ferries and the Torpoint crossing add waiting that a mileage chart ignores. If you or your guests are using either, the photographer's start time should allow for it.
How many hours cover a signing and pictures on the Hoe?
Describe that as the whole booking if it is all you want: the room, the minutes you have, and how long you want on the Hoe or the Barbican. One or two hours often covers a short register-office signing and a few pictures outside. Leave the evening off if you do not want it priced.
Should a drive from Exeter be written into the quote?
Ask. A photographer coming from Exeter is doing a real journey, and the miles should be stated. Someone already based in the city may not need that line. You want the travel written either way, including a start from Bristol if that is where they are coming from.
The meal is on Dartmoor. What do we send?
Name the place and the month. The drive from the city is the second half of the job, and an outdoor finish needs enough daylight. Winter afternoons finish early, so say when you need the coverage to end.
We are crossing the Tamar. What changes in the brief?
Say Cornwall, or the town on that side, in the first line. It is a different county and a different journey home for anyone based in the city. If you are using a ferry or the Torpoint crossing, put that waiting into the start time rather than treating the day as one compact centre.
